Taskly allows you to create bookings directly. This is useful when a customer calls and you want to schedule them without using the quoting process. This article outlines how to create a booking.
If you need a customer to accept a quote and pay before the booking is confirmed, use the Send a Quote flow. Direct bookings invoice on completion.
Go to Bookings.
Press + Create Booking.
Select the Service(s) for the booking.
Select the Customer from your existing customer list.
If the customer is not in Taskly yet, press the + button next to the customer field to create a customer record.
The Address auto-populates from the customer's record. Edit it if the job is at a different address.
Press Next.
Select the Assigned Staff for the booking. You can assign multiple staff members, or leave this blank and assign someone later.
Set the Starts At date and time.
Set the Ends At date and time.
If this is a recurring job, set the Recurring Booking frequency.
Press Next.
Use the Enter prices excluding GST toggle to set whether the prices you enter already include GST or exclude it. Off enters tax-inclusive prices. On enters tax-exclusive prices and adds GST as a separate line. This defaults to the customer's Default GST treatment if one is set, but you can change it here.
Enter the job pricing in the line item table. Add a Description, Quantity, and Price for each item. You can enter any positive quantity with up to two decimal places. For example, enter 4.5 hours at $55 to charge $247.50. Press Add line item to add more rows.
Under Generate invoice, choose whether Taskly should automatically raise an invoice for this booking.
Turning this on raises an invoice automatically when you mark the booking as complete.
Turning this off keeps the booking available to attach to an ad hoc invoice later. This is useful when you want to combine multiple bookings on one invoice or invoice from an external system.
Taskly collects payment for direct bookings after the booking is completed. Use the quote flow when the customer will pay upfront.
Press Next.
Review the booking summary, including customer, date and time, assigned staff, recurring details, and pricing.
Under Notifications, choose whether to send a booking confirmation email to the customer or staff.
Press Create Booking.
The booking appears in your Bookings list and on your Calendar immediately.
