Create a Booking

Taskly allows you to create bookings directly — useful when a customer calls in and you want to get them scheduled without going through the quoting process. The following article outlines how to create a booking.

If you need a customer to accept a quote and pay before the booking is confirmed, use the Send a Quote flow instead. Direct bookings always invoice on completion.

Create a Booking

  1. Go to Bookings

  2. Press + Create Booking

Step 1 — Customer

  1. Select the Service(s) for the booking

  2. Select the Customer from your existing customer list

If the customer isn't in Taskly yet, press the + button next to the customer field to create a new customer record on the spot.

  3. The Address will auto-populate from the customer's record. Edit it if the job is at a different address.

  4. Press Next

Step 2 — Schedule

  1. Select the Assigned Staff for the booking. You can assign multiple staff members, or leave this blank and assign someone later.

  2. Set the Starts At date and time

  3. Set the Ends At date and time

  4. If this is a recurring job, set the Recurring Booking frequency

  5. Press Next

Step 3 — Pricing

  1. Enter the job pricing using the line item table — add a Description, Quantity, and Price for each item. Press Add line item to add more rows.

  2. Under Generate invoice, choose whether Taskly should automatically raise an invoice for this booking:

    • On — Taskly will raise an invoice automatically when the booking is marked as complete

    • Off — No invoice will be created. You can attach this booking to an ad hoc invoice later, which is useful if you want to combine multiple bookings on a single invoice.

Payment for direct bookings is always collected after the booking is completed. If you need a customer to pay upfront, use the quote flow.

  1. Press Next

Step 4 — Review

  1. Review the booking summary, including customer, date & time, assigned staff, recurring details, and pricing.

  2. Under Notifications, choose whether to send a booking confirmation email to the customer and/or staff.

  3. Press Create Booking

The booking will appear in your Bookings list and on your Calendar immediately.
